Administrator - Health & Safety Randstad Engineering are looking for an Administrator to join a leading manufacturing business on an initial 3 month FTC to cover a maternity period. This period is likely to extend beyond this for the correct individual. The salary for this position is £16,000 to £17,000 pro rata. PRINCIPAL ACCOUNTABILITIES Process requisitions and invoices for a number of safety related services for the works, these include Johnson's workwear, Liscombe stores items, Parmalee safety glasses. Monitor and control spend on key safety contracts, attending monthly review meetings with the supplier to understand the requirements for the works . Organise safety training with shift managers or new starters, booking venues, organising dates in accordance to shift patterns and trainers availability. Organising payment of training events eg first aid training, face fit training, jet training for employees. Facilitate weekly gateway safety meetings to discuss company safety issues and relevant safety alerts for the works. Monitor and control the compliance of this process, organising status logs and communicating weekly next steps. Coordinate and communicate safety campaigns to the workforce on behalf of the safety manager. Producing posters for zero harm campaigns and communicating across the site. Keep up to date records of completion of campaigns to ensure that all areas have completed their actions and are closed out. Work with the Safety Manager to create and develop toolbox talks eg hand and finger campaigns. Communicate the campaign across the site and monitor and control the completion of these actions to ensure all area's are closed out. Organise accident and incident files ensuring that full details are kept up to date on the central spreadsheet. Create individual folders (paper and computer files) for each accident and incident to ensure that all evidence is kept up to date. Update accident graphs which are used on behalf of the company. Work with the Safety Manager to set agenda's for safety contractor meetings, preparing presentations, selecting relevant company safety hazards. Include up to date accident graphs and provide up to date attendance sheets for contractors who attend these meetings. To operate a telephone switchboard service and deal with customers and visitors at the reception in a professional manner. To report telephone system faults to the appropriate maintainer and to progress through to completion. To maintain meeting rooms and co-ordinate booking and catering requests. Provide a sorting and distribution service for all incoming and outgoing correspondence, including that transmitted electronically. Make and answer telephone calls on behalf of the department, taking messages, arranging meetings etc as required. To provide professional secretarial support to senior managers responding to requests for information/data etc. discreetly and appropriately, often without reference to the manager involved. To assist with other administrative duties, as required, by the Administration Supervisor. Randstad CPE values diversity and promotes equality.
