The Role Robert Half Office Team are recruiting for an Executive Assistant to join our client in Cardiff. The role is temporary and expected to last between 1-3 months. You will be expected to provide comprehensive executive support to Chief Executive and the Executive Team. Key Responsibilities - Proactively manage multiple diaries whilst prioritising appointments - Organise travel arrangements and accommodation to ensure value for money and best use of time - Monitor and action emails, draft appropriate internal and external communications and responses as and when required - Ensure accurate telephone and email messages are relayed - Liaise with clients as directed - Organise all Executive and Management meetings: prepare agendas, distribute relevant papers and liaise with meeting attendees - Collate and distribute Board packs as required - Take minutes and distribute follow-up actions as needed - Organise and oversee hospitality for meetings and functions - Coordinate client events, invitations, venues, menus as required - Prepare Executive-staff communications, e.g. half-yearly business presentations, monthly all-staff briefings, ad hoc notices and social media contributions - Guide and mentor junior PA, distributing workload and delegating appropriate tasks - Ensure Executive team receives excellent general secretarial support - Create and maintain Executive team's logs as appropriate. Your Profile - Have at least 5 years' previous experience of providing executive support at Executive level - Experience of building and maintaining effective working relationships with internal and external stakeholders i.e. Directors, Business Partners, Client representatives, Board members - Excellent communication skills including liaising with and influencing a broad range of individuals - Proficient in MS Office as well as digital tools used within communications - Excellent written and verbal communication skills - Experience of supervising junior team members Personal Qualites - Maintain confidentiality, discretion and professionalism at all times - Attention to detail and perseverance - A positive can-do approach and ability to prioritise effectively - Ability to organise - Ability to work unsupervised, effectively and to deadlines - Ability to work as part of a team - Ability to work flexibly and with diplomacy, sensitivity and integrity.
